A clinic workstation is connected to many hidden dependencies. Replacing it successfully requires inventory and testing, not simply copying files and installing Office.
Inventory before removal
- User accounts, MFA readiness, browser profiles, local files, shared drives, mapped folders, applications, licenses, printers, scanners, specialty devices, and remote-support tools.
- Any folder the old computer hosts for other users or copiers.
- Saved credentials, certificates, templates, macros, label formats, and vendor utilities.
Build the replacement
- Apply updates, security controls, naming standards, Entra join or approved account configuration, and the local recovery administrator.
- Install applications from verified sources and configure printers and scanners using documented settings.
- Move data into organization-owned locations rather than recreating undocumented local dependencies.
Cut over safely
- Test with the actual employee and actual clinical workflows.
- Keep the old computer intact and offline for an agreed rollback period when feasible.
- Sanitize or dispose of the old device only after data ownership, backup, and recovery are confirmed.

Practical note: Technology, licensing, vendor capabilities, and regulatory obligations vary. Confirm the clinic’s current configuration before making changes.
Inventory before replacement
List local files, browser profiles, saved bookmarks, application data, EHR and vendor software, printers, scanners, shared folders, remote-support settings, encryption keys, and user-specific certificates.
Parallel migration
Prepare the new device while the old one remains available, migrate only required data, test each workflow, and keep the old computer disconnected but intact until the clinic accepts the replacement.
Cutover checklist
Confirm sign-in, MFA, email, shared data, printing, scanning, vendor portals, browser favorites, cameras, microphones, and recovery access. Record unresolved items before retiring or wiping the old device.
