Printer and scanner installations should be treated as small infrastructure projects. A device is not finished when one test page prints; every required workflow must be validated.
Before installation
- Inventory model, serial number, location, network connection, warranty, and vendor contact.
- Reserve or document the network address and confirm the device is on the intended VLAN.
- Identify every workstation, application, paper size, tray, label format, and scanning workflow that depends on the device.
Configure deliberately
- Use current vendor-supported drivers and utilities.
- Standardize printer names and avoid duplicate auto-discovered queues.
- Configure scan-to-folder or scan-to-email with organization-controlled destinations and credentials.
- Set administrative passwords and restrict management access.
Test and document
- Print from Windows, the EMR, browsers, and any label or specialty application.
- Test duplexing, color, trays, envelopes, labels, multi-page scans, and destination permissions.
- Record IP address, hostname, driver, queue name, scan path, credential owner, and support information.
