Start with the systems the clinic depends on
A useful recovery plan begins with an inventory of the technology required to keep the organization operating. That may include clinical applications, shared documents, Microsoft 365 or Google Workspace, local file shares, workstations, scanners, printers, network equipment, phone systems, and vendor-hosted services.
The clinic should identify which systems are essential, who owns each account, where the data resides, and what would happen if the system became unavailable.
Synchronization is not the same as an independent backup
OneDrive, SharePoint, Google Drive, Zoho WorkDrive, Dropbox, Box, and similar services can provide synchronization, version history, deleted-item recovery, and collaboration features. Those capabilities are valuable, but they do not automatically create a complete recovery plan.
Deletion, corruption, ransomware, mistaken permission changes, or an account compromise may affect synchronized copies. The organization should understand retention limits and decide whether an additional independent copy is necessary.
Define recovery priorities
Not every system needs to return at the same time. A clinic should identify:
- Which systems must be restored first
- How long the clinic can operate without each system
- How much recent data loss would be acceptable
- Whether a temporary manual workflow exists
- Who has authority to contact vendors and approve recovery work
These decisions establish practical recovery-time and recovery-point expectations without pretending every small clinic needs an expensive enterprise disaster-recovery platform.
Protect organization-owned data
Important files should live in storage controlled by the organization rather than inside a departing employee's personal account. Shared storage permissions, administrator ownership, backup responsibility, and retention should be documented.
Local shared folders also require protection. A file server, workstation acting as a server, or network-attached storage device can fail, be stolen, or become encrypted by malware. A second copy in the same room is not enough protection against every event.
Include cloud administration and recovery access
Backups are difficult to use when no one can access the tenant, domain, DNS, billing account, or encryption credentials. Maintain tested backup administrator access for Microsoft 365, Google Workspace, cloud storage, the domain registrar, DNS provider, and other critical services.
ClinicsIT never asks users to disclose their passwords. Recovery planning should document account ownership, password-policy requirements, MFA ownership, and approved recovery methods without recording individual user passwords.
Document vendor responsibilities
Hosted clinical systems may be backed up by the vendor, but the clinic still needs to understand what the vendor protects, how long data is retained, how restoration is requested, and what happens during an outage. Marketing language such as “fully backed up” is not a substitute for written recovery details.
Test restoration, not just backup completion
A green status indicator only shows that a backup job reported success. Periodic restoration testing confirms that the data is readable, the correct files are present, permissions can be reconstructed, and the clinic knows the steps required to recover.
Testing can be proportionate to the organization. Even a documented sample-file restore and administrator-access review is better than discovering during an emergency that the backup cannot be used.
Keep a practical recovery handbook
The recovery documentation should identify:
- Critical systems and data locations
- Backup products, schedules, retention, and responsible parties
- Cloud, domain, DNS, and vendor administrators
- Recovery contacts and escalation procedures
- Equipment inventory and replacement priorities
- Temporary downtime procedures
- Dates and results of restoration tests
Store the handbook securely in a location that remains available when the primary systems are down.
